Each laundry uploads its own invoice — by page or API — and the portal matches every line against the jobs it billed. Approve for payment, dispute a mismatch, or request a re-issue without leaving the app.

Direct messages, groups and file share for the operations team, right inside the portal. A user offline for 24h with unread messages gets one catch-up email per day — never more than one, so the chat can never spam.

The linen loop, tracked end to end

Every piece follows the same simple path — and the system keeps the count honest at each step.

  1. Pack clean linen.The Clean Queue lists each upcoming check-in. Pack its bag from the apartment’s own set — the pieces come off the shelf.
  2. Count the dirty linen back.The Dirty Queue lists each check-out. Count what came back, split out any damage or losses, and send the rest to a laundry.
  3. The laundry confirms.On its own page, the laundry re-counts what it received and confirms — or disputes — so the “at laundries” figure is always agreed.
  4. Clean linen comes back.The laundry records what it is sending back; it leaves the laundry immediately and shows as “coming back” while in transit.
  5. Receive it onto the shelf.You count what physically arrived and put it on the shelf — ready to pack again. Nothing is created or lost along the way.

How wash pricing works (inside the app)

Separate from the SaaS plan pricing above, the app also holds an internal wash-price matrix — what your laundry suppliers charge you per linen item. Those are commercial terms between you and each laundry and are configured per-operator on the Pricing page. Everything in the € totals below (Dashboard spend, per-property cost, Statistics, Invoices) is computed from that matrix.

📈Two prices per item, per laundry

Every item has a Normal price (the standard wash) and a Hard price (a heavier wash). When a sheet is submitted as Hard it is billed at the Hard price. If the Hard price is left blank the item bills at Normal; it can never be set lower than Normal.

💬Cheapest-supplier hint

When you use more than one laundry, the cheapest Normal price on each row is highlighted in green so a manager can compare at a glance. Non-admin users see the table but cannot edit it.

📄Bulk edit by spreadsheet

Download the current price matrix (one row per item, a Normal and a Hard column for each laundry), edit it in Excel or Google Sheets, and upload it back. Items match by ID (then name) and laundries by column heading; an empty cell clears that price, anything not in the file is left untouched.

🧹Feeds every cost figure

Every € figure in the app — Dashboard totals, per-property cost, per-laundry cost, Statistics, Invoices — is computed from this table. If Dashboard totals look wrong, Pricing is the first place to check; if prices are unset, costs show as 0.00.

Honest note. This page describes the mechanics. Actual wash prices are commercial terms negotiated between each operator and each laundry; nothing on this page or on the live portal home reveals another operator’s figures. Ask your laundry for its rate card, then plug the numbers into the Pricing screen.

Laundry Portal is not a standalone product. It is a companion module to CodeB Business Intelligence: the BI platform delivers the turnover feed and each apartment’s linen set; Laundry Portal picks up from there and handles the physical loop out to the laundries and back. If you already run BI, adding Laundry is a configuration change — no fresh signup, no separate import of your properties or guest calendar.

Every piece of linen is always accounted for in exactly one place — in the vault, on the shelf, at an apartment, at a laundry, or in transit coming back. Sending linen back reduces the laundry’s stock immediately and can never exceed what is actually there, so the totals always reconcile to the piece.

No. Wash prices are commercial terms negotiated between each operator and each laundry, and are configured per-operator inside the app on the Pricing page. Every item carries a Normal price and an optional Hard-wash price; the cheapest Normal price per row is highlighted in green when more than one laundry is configured, and the whole matrix can be bulk-edited by CSV.

How does invoice approval work?

Each laundry uploads its own invoice by page or by API on the Laundry Invoices screen. The Invoice Approvals screen matches every line against the jobs the portal already recorded for that period, so a manager can approve for payment, dispute a mismatch, or request a re-issue — without leaving the app.

What does the Route page do for a driver?

The Route plans the shortest driving loop for a day’s check-outs, starting (and optionally ending) at the Warehouse. Each stop shows the clean drop-off bag and the dirty pickup bag with weight in kg, plus Approve drop-off / Approve pickup taps. The header shows the total clean and dirty weight for the day. One tap opens the whole loop in Google Maps for turn-by-turn navigation, and the Route is an installable phone app on its own.

What is the Best-Price Mix on Statistics?

When you use more than one laundry, the Statistics page shows what the current month’s wash bill would have been if every item had gone to its cheapest supplier, and the saving that mix would represent. The stock tiles also show the euro value of the linen in the vault, on the shelf and in circulation, so operators see linen as an asset alongside the piece counts.

Can the operations team chat inside the portal?

Yes. The portal ships a team chat with direct messages, groups and file sharing. If a user has been offline for 24h with unread messages, they get one catch-up email per day — never more than one, so the chat can never spam.
